Built from a
real wedding.

PlannedBy didn’t start as a product. It started as a panicked attempt to coordinate 12 vendors for our own wedding day.

The beginning

A Google Sheet, 12 vendors, and a lot of stress

In early 2026, Juan and Laura were planning their wedding at Vines of the Yarra Valley in Melbourne. 120 guests. 12+ vendors. A photographer, videographer, florist, DJ, hair and makeup team, coordinator, caterer, content creator, musicians, officiant, cake maker — and no good way to keep them all on the same page.

The Google Sheet was 14 columns wide. It looked fine on a laptop. On a phone? Illegible. The florist couldn’t find her column. The photographer was scrolling sideways. The DJ just asked to be texted his times. Every change required re-exporting a PDF and emailing it to everyone again.

So Juan built something. A run sheet app where each vendor could get their own filtered view — just their column, just their times, on a page that worked on a phone. Enter a code, see your timeline. That was it.

We realized every vendor needed their own view. Not a spreadsheet. Not a PDF. A portal built for them.

The photographer doesn’t care what time the florist arrives. The DJ doesn’t need the makeup schedule. Each vendor needs their slice of the day — clean, mobile-friendly, and always up to date.

Our mission

Wedding coordination shouldn’t require a project management degree.

We believe every couple — with or without a planner — should be able to coordinate their vendors like a pro. PlannedBy makes that possible with a tool so simple it takes 15 minutes to set up.

We don’t add features that slow people down. Every screen, every interaction is designed to be fast. You’re planning a wedding — you don’t have time for onboarding tutorials.

Built for the day, not just planning

Most wedding tools help with planning. PlannedBy is built for execution — the actual day when 12 vendors need to be in the right place at the right time.

Vendor-first

If vendors don’t use it, the tool fails. That’s why we designed vendor portals to be zero-friction: no app, no account, no signup. Enter a code, see your timeline.

Offline-first

Wedding venues are beautiful. Their wifi is not. PlannedBy works offline because the one time it matters most is the one time you probably can’t get a signal.

From the Yarra Valley to everywhere

PlannedBy is designed and built in Melbourne, Australia. We started by solving our own problem for our own wedding. Now we’re building it for every couple and planner who’s ever wrestled with a Google Sheet on the morning of a wedding.

We know the Australian wedding industry because we’re in it. We’ve been the couple panicking about vendor coordination. We know what it feels like to have 12 people texting you at 7am on the biggest day of your life.
