The DJ or band gets 21 rows from the classic wedding run sheet template - the second-densest supplier column after the primary sheet. A DJ and band run sheet is those rows extracted: sound check window, cocktail music, couple introduction, speeches hold, first dance cue, and the close. The full document runs 62 rows across the whole wedding day. The 41 rows the music team does not need cover family photo sequences, transport instructions, and getting-ready calls that carry no music cue.

What goes wrong without one

The problem with handing over the full 62-row document is not its length. It is that the rows the DJ or band needs most - the ones with a hard start time or a coordination signal - sit inside a list where most rows belong to someone else.

Three cues create the most trouble. The speeches hold: the caterer waits on clearing entrée while speakers run, and the DJ needs to know not to queue the next track until the MC signals clear. The first dance: a time on the run sheet means nothing if the DJ has not been told the specific song and the couple's cue for when to start playing. The last song: the venue has a hard finish, and the close is easier to hold if it is on paper rather than in someone's memory.

Verbal briefing on the day is the alternative many couples use instead. Verbal briefing works until the ceremony runs 15 minutes late, or the speeches go long, and nobody has a document to cross-reference.

The setup window is the row couples leave off most often. A DJ arriving at 3:45 PM for a 4:00 PM cocktail with no load-in time on the run sheet will spend the first part of cocktail hour on a sound check rather than playing what was planned. Put the access time on the sheet.

Cocktail hour: the transition is the coordination point

Background music through cocktail hour runs without cues. The coordination happens at the end of it. The run sheet should carry the exact time the couple will be introduced so the DJ can queue the right track before the doors open, rather than reading a hand signal and guessing the right moment.

In the classic template, the reception opens at 6:00 PM for a 3:00 PM ceremony. That time is the DJ's primary anchor for the rest of the night.

Dinner and speeches: the hold is the hard part

Couples hire an average of 13 wedding professionals per wedding.1 Most of the on-the-day coordination happens during dinner, where the DJ, caterer, and MC all need to know the same three times: when entrée service starts, when speeches begin, and when the hold ends so dinner music resumes.

The DJ's row for speeches should carry the MC's name and the agreed signal for returning to dinner sets - not just a time. A time tells the DJ when speeches were planned to start; the MC's name tells them who to watch.

Dance floor: first dance through close

The first dance row needs three pieces of information on the run sheet: the time, the song title, and the couple's specific cue for the DJ to start playing. Without the cue - whether the MC announces it, the couple walks to the floor, or a hand signal is used - the DJ plays on instinct and sometimes starts before the couple is ready.

The last song needs a hard time, not just the venue close. If the venue requires music off by 11:30 PM and the track runs four minutes, the last song starts no later than 11:15 PM. Put 11:15 PM on the run sheet, not 11:30 PM.

What happens when the ceremony moves

Every DJ row from cocktail hour onwards is tied to the ceremony time. A ceremony that runs 20 minutes late shifts the couple's introduction, the speeches window, and the first dance by the same 20 minutes. On a static PDF, that means a correction email and the chance that someone on the music team pulls up the first version on the day. On a live run sheet, the rows adjust with the ceremony.

The classic template uses a 3:00 PM ceremony. A 2:00 PM or 5:00 PM ceremony produces a different set of DJ times. Use the run sheet generator to set the ceremony time and every downstream row - including the introduction, speeches, and first dance - inherits the correct position.

FAQ

What should go on a DJ's wedding run sheet? At minimum: the venue load-in time and access window, cocktail start and end, the couple's introduction time and song, speeches start and the MC hold signal, first dance time and song title, and the venue close. Any moment with a hard start cue needs its time on the sheet.

How many rows does a DJ or band need from the full run sheet? 21 in the PlannedBy classic day, out of 62. The remaining 41 rows include family photo slots, transport timing, and getting-ready sequences. A filtered DJ column means the music team reads only the rows where they have something to do.

Should the live band get the same run sheet as a DJ? The milestones are the same - introduction, speeches, first dance, close - but live bands typically also need a set list alongside the run sheet rows, plus a break schedule if they are playing multiple sets and a load-out window for gear. The run sheet rows cover the coordination cues; the set list is a separate document.

What if the DJ sends their own timeline? Put the key times from the DJ's timeline into the shared run sheet and send back one document. Two separate schedules for the same wedding create the risk of a first dance time in one and a speeches time in the other, which is how a DJ queues a track over the cake cutting.

Who else needs the DJ's run sheet on the day? The MC needs the speeches row and the hold signal. The venue coordinator needs the load-in time and the hard music close. A day-of coordinator, if there is one, holds the full run sheet and handles any timing updates that need to reach the music team.
