Split Day Wedding Run Sheet Template: How to Time the Gap

A split day wedding run sheet needs five sections, not four. The extra section is the gap - and that is the one most couples leave out entirely.

Most split day wedding run sheets treat the gap period as empty time. A split day wedding run sheet needs five sections, not four - the fifth covers the gap between ceremony and reception, and without it every vendor on the day is working from their own assumptions.

The standard four-section structure covers morning preparation, ceremony, cocktail hour, and reception. It is built for a continuous day where vendors move from one phase to the next without a break. A split day cuts that sequence in two, and the missing section is where the most coordination decisions sit.

Why the standard four-section structure fails on a split day

A classic run sheet covers four sections and assumes all vendors are on site from getting ready through to send-off, or close to it. A split day breaks that assumption at one point: when the ceremony ends and the reception does not begin for several hours.

Australian wedding venues have noted that even a one-hour gap between ceremony and canapés can create awkwardness if guests have nowhere to go.2 A gap of two to five hours is a different challenge again. It requires decisions about where the couple goes, what each vendor does, when the reception venue opens for setup, and when the couple is due to arrive. None of those decisions have a home in a four-section template.

When the gap section is missing, those decisions happen informally. The photographer asks the celebrant whether they are done. The florist arrives at the reception venue to find no one to let them in. The couple leaves for lunch and forgets to tell anyone when they will be back.

The five-section structure for a split day

The gap section holds 18 rows - the largest section in the template, larger than the ceremony itself. That count reflects the decisions that sit in this window. Every vendor who attended the ceremony needs a dismissal time and, if returning for the reception, a call time at the new venue. Every vendor setting up the reception needs a confirmed access window. The couple needs a location and a confirmed arrival time.

What goes in the gap section

Each row in the gap section follows the same format as every other row in the run sheet: a time, an action, and the person or vendor responsible. The gap rows fall into three groups.

Vendors finishing at the ceremony. Every vendor who attended the ceremony needs a row covering their dismissal time and, where relevant, their return call time at the reception venue. A photographer covering both portions needs clarity on whether gap time counts toward their booked hours. That answer belongs in the run sheet, not in a day-of conversation.

Vendors setting up the reception. Florists, caterers, and other reception suppliers need a confirmed venue access time in writing. Without a run sheet row, they work from an informal estimate and call the venue coordinator on the day. When that time is in the run sheet and agreed by all parties - couple, coordinator, venue, vendor - there is one answer rather than three.

The couple and bridal party. The run sheet should record where the couple is going during the gap, who is travelling with them, and when they are expected at the reception venue. If there is a separate portrait location after the ceremony, it belongs in the gap section with a time, not in a separate message thread that only some vendors see.

How split day vendor coverage differs from a standard day

The run sheet that covers the whole day is one document. Each vendor sees their own rows in context - morning entries, gap-period status, evening call time if applicable - and can manage their own schedule without waiting for a call during the gap.

Building the gap section

The most common mistake is treating the gap section as an afterthought, filled in after the morning and reception sections are already set. The gap period typically has the most coordination decisions of any section on a split day, and leaving it until last means revisiting both the ceremony and reception timings.

Start from the reception venue access time. That is the constraint that sets when setup vendors arrive and when the gap ends for the couple. Work backwards from there to vendor dismissal times at the ceremony. Fill in the couple's gap plan last, because it depends on both ends of the window.

For the ceremony and reception sections, the structure is the same as a standard run sheet. The gap section is what changes, and it changes the most between couples. A couple spending the gap at a separate portrait location has different rows from one returning to the reception venue for setup photos.
