Wedding Planning List: What to Book and When

A wedding planning list ordered by actual deadlines. Australian supplier lead times, the legal notice window, and a run sheet phase that ends at the ceremony.

Your wedding planning list has roughly 24 months to work with - the average Australian engagement.1 What compresses that window is that the suppliers who shape the day most - venue, photographer, celebrant, musicians, hair and makeup - are all booked within the first 13 to 15 months.2 The six phases below are ordered by deadline pressure, not by how much time each one takes.

Phase 1 contains the only item on the list set by law rather than by supplier availability. Every other deadline is a function of demand.


Phase 1: Engagement to 18 months out

Set a budget and a season before you talk to anyone.

Australian couples start with a budget near $29,471 and land at $38,252 on average, a 23% gap that opens mainly through venue and catering quotes.8 Knowing your season before the first venue call means you arrive knowing whether the month you want carries peak demand.

Spring (September to November) accounts for 38% of all Australian weddings, with October alone taking 17% of the year.3 The most popular single date in 2025 was 25 October, with 2,035 marriages.9 A Saturday in that month is rationed by venue capacity, and venues book an average of 11 months out.2 If you want one of those Saturdays, the venue conversation needs to start before you have a confirmed date.

Lodge the Notice of Intended Marriage.

You must give a notice in writing to your authorised marriage celebrant at least one month and no more than 18 months before the wedding.4 This is the one deadline on the list with a statutory floor and ceiling. Celebrants handle it at an initial meeting, but it requires a date to have been set, so it follows the venue decision rather than the engagement itself.

Start the guest list draft.

Australian couples plan for an average of 108 guests and actually invite 85.5 The 23-guest gap opens when venue quotes arrive and budget pressure forces cuts. A working draft at this stage gives you a headcount range for venue site visits - most venues price per head, so you need a number before quotes are comparable.


Phase 2: 18-12 months out

Book the venue.

Venues are booked an average of 11 months before an Australian wedding.2 That is the average - a venue you want for a peak spring Saturday may need to be confirmed 14 or 15 months out. The guest list draft feeds directly into this: venue capacity is why the draft exists.

Book the photographer and celebrant.

Both are booked at 9 months on average.2 In the buying cycle Australian couples actually follow, celebrant sits at position 4 and photography at position 5, both behind the venue but ahead of every other category.7 Book them in the same window as the venue confirmation, before the date sends ripples through their availability.

Phase 3: 12-9 months out

Book musicians and hair and makeup.

Musicians and hair and makeup artists are both booked at 9 months on average - the same window as the photographer.2 A musician's Saturday availability is constrained by the same October peak as the venue. Book them in the same month as the photographer rather than after, because they are drawing from the same limited pool of weekend dates.

Finalise the guest count.

With venue capacity confirmed and catering quotes in hand, the guest list can close. The count of 108 becomes the count of 85.5 Three things cannot be written until this number is fixed: catering headcount, the seating plan, and the invitation run.

Phase 4: 9-6 months out

Book wedding cars.

Wedding cars carry the shortest lead time of any supplier category - booked an average of 6 months before the wedding, compared to 9 months for photographers and celebrants.2 Book them after the venue is confirmed, because the ceremony and reception locations determine the transport route and timing.

Send save the dates.

With venue locked and guest count set, this is when the draft becomes a delivery list. For guests travelling interstate or from overseas, send at this point.

Brief flowers, cake and decor.

No average booking window is published for these categories, but most florists and cake makers work to 3-6 month lead times for anything complex. Briefing them in this phase means availability is confirmed before the seating plan and run sheet need their timing.


Phase 5: 6-3 months out

Build the seating plan and start the run sheet.

With confirmed headcount and the venue's table layout, the seating plan can be drafted. The run sheet - the minute-by-minute schedule of the wedding day - follows from both, because dinner service timing depends on how the room is set and how the photographer's timeline fits around it.
