How Many Hours Should a Wedding Reception Be?
How many hours should a wedding reception be? Five, from the couple walking in to the send-off, and here is where every one of those hours goes.

The band wants a finish time and the caterer wants a service window. A wedding reception should be about five hours long, counted from the couple walking in to the send-off: the shipped afternoon run sheet runs 6:00 PM to 11:00 PM, and the generator lands on the same five hours whenever the finish time is left blank.
The five hours by block, longest first: 90 minutes of dancing, an hour of dinner service.
Where do the five hours actually go?
Ranked by how much of the night each block takes, from the afternoon scenario that ships inside PlannedBy.
| Block | Starts | Runs |
|---|---|---|
| Dance floor | 9:15 PM | 1 hr 30 |
| Dinner service | 7:30 PM | 1 hour |
| Cake, first dance, dessert | 8:30 PM | 45 min |
| Entrance and welcome | 6:00 PM | 30 min |
| Entree | 6:30 PM | 30 min |
| Speeches | 7:00 PM | 30 min |
| Last drinks and send-off | 10:45 PM | 15 min |
Dancing takes the largest single share at 90 minutes, and it sits at the end where it is easiest to lose. Everything above it in the clock has to finish on time for the floor to open at 9:15 PM.
Dinner is the block that decides that. Mains go out at 7:30 PM and the kitchen allows 45 minutes from the first plate landing to the last one cleared, which is why the cake is not called until 8:30 PM.
Which blocks run over, and which hold?
Speeches run over. Three speakers get five minutes each with the MC holding the clock, and the sheet says plainly what happens without one: three unwatched speeches become a 45 minute block and a cold main. Jordan, founder and lead wedding coordinator at Managing Matrimony, pads the same two moments in the Australian run sheet published there, adding 10 minutes between speakers and 15 minutes for the reception entry because guests move slower than the plan assumes.1
The blocks that hold are the served ones, because a caterer runs them to a clock you have already paid for. Entree at 6:30 PM, mains at 7:30 PM, dessert with the cut cake at 9:00 PM.
How many hours is a lunch reception?
Three and a half hours. The morning scenario introduces the couple at 12:00 PM and sends them off at 3:30 PM, and it gets there by trimming the party rather than the meal: one song on the floor at 2:00 PM instead of a dance bracket, photography wrapping at 2:30 PM.
A reception at a second venue lands between the two, at four hours fifty. That day puts the first dance at 6:05 PM, five minutes after the entrance, because guests have already been travelling since eleven and the room needs a reason to be standing.
Entrance to send-off across the three shipped scenarios: 5 hours, 3 hr 30, 4 hr 50.
Put your ceremony time in and read the finish time back The run sheet generator sets the reception three hours after the ceremony and ends the night five hours later, with every row in between placed on a real clock.
What if the venue only gives you four hours?
Then one block goes, and it will be the late dancing. The generator places dinner 45 minutes into the reception, speeches at 90 minutes and the first dance at two and a half hours, then drops any beat that lands after your finish time. The send-off is kept whatever else goes.
A four-hour wedding reception keeps the first dance and cuts roughly an hour off the floor. If dancing is the part you are paying a band for, buy the fifth hour from the venue before you buy anything else.
A four-hour night keeps dinner, speeches and the first dance, and loses the last hour of the floor.
The finish time is also the number your suppliers price against, and The Knot Worldwide's 2026 Real Weddings Study, drawn from 10,474 couples married in 2025, records an average of 13 hired professionals per wedding.3 Move the send-off by an hour in a document and 13 people need telling. In a live run sheet each of them opens one link and reads their own rows, for a one-off cost rather than a subscription.
Common questions
Is four hours long enough for a wedding reception? Yes, with a sit-down meal and one round of speeches. It is short by about an hour of dancing, so the floor opens after dessert and closes on the last song rather than running two sets.
Does the cocktail hour count towards the reception? No. Writing for Zola, Laura Hensley puts a cocktail hour at 60 minutes and 90 at the outside, and it sits before the reception rather than inside it.2 The five hours start when the couple walk in, and the gap between the ceremony and the reception is counted separately.
What time should a five-hour reception start? Three hours after the ceremony, if you leave it to derive. A 3:00 PM ceremony gives a 6:00 PM entrance and an 11:00 PM send-off, which is why what time the ceremony starts decides the finish time as well.
Can a wedding reception be six hours? It can, and you set it by typing the finish time rather than leaving it blank. A typed time is placed exactly where you put it, and the beats in between spread to fill the night.
How many hours of a wedding reception are guests actually seated? About two and a half in the afternoon scenario, from the entree at 6:30 PM to dessert at 9:00 PM, broken up by speeches and the cake.
When should the bar close? Fifteen minutes before the send-off, on the shipped sheet: last drinks called at 10:45 PM, bar closed at 11:00 PM as the guests move outside.
The shortest path from here
Open the run sheet generator, type the ceremony time, and leave the finish time empty. Read the send-off it gives you, check it against what the venue actually lets you have, and type your own end time if the two disagree. Every row between the entrance and the send-off moves with it, and the rest of the free tools run off the same clock.
