Sunset Wedding Timeline: Back-Calculate from the Light

A sunset wedding timeline is built backwards from the golden hour window. Here is how to find your ceremony start time and a full-day schedule.

Planning a sunset wedding timeline around an approximate rather than exact sunset time costs you the portrait window - the one block on the day you cannot recover once the light is gone. The calculation runs backwards: find the precise sunset time for your venue's city and wedding date, subtract the portrait window, subtract the ceremony, and the ceremony start follows automatically. In Sydney in December, that sun sets at 8:05pm, putting a 40-minute ceremony's start at around 6:10pm with 75 minutes of portraits between ceremony end and last usable light.1

Australian law places no restriction on the day or time of a marriage ceremony, so every timing decision here is about the light and your suppliers, not legality.3

Which sunset wedding timeline structure fits your day?

Two structures work. The right one depends on whether you want golden-hour portraits immediately after the ceremony or whether you want the ceremony itself to finish at the exact moment the sun reaches the horizon.

Option A: Ceremony before golden hour, portraits in the light. The ceremony ends 60 or more minutes before sunset. The couple and photographer leave for 45-75 minutes of portraits during the warmest available light. Guests move to cocktail hour. The couple returns and reception entry follows. This structure gives the most total portrait time and carries the least risk if the ceremony runs a few minutes long.

Option B: Ceremony timed to end at golden hour. The ceremony finishes as the sun reaches the horizon. Portraits happen immediately after in the remaining twilight. This is tighter - every extra minute inside the ceremony is a minute of the portrait window gone - but the ceremony itself is lit by the warmest light of the day.

How to back-calculate your sunset wedding timeline

Step 1. Find the precise sunset time for your venue's location and your exact wedding date. The United States Naval Observatory publishes free lookups by coordinates and date.1 SunriseSunset.io provides the same for Australian cities.2 Use the actual date - sunset shifts quickly across Australian spring and autumn, and a monthly average can be off by 20 minutes or more.

Step 2. Decide how much portrait time you need. Most photographer blocks run 45 to 75 minutes for couple portraits. If family groups are in the same window, add 20 to 30 minutes.

Step 3. For Option A, target a ceremony end at least 60 minutes before sunset so the portrait window lands in full golden light. For Option B, subtract the portrait window directly from sunset to find when the ceremony must finish.

Step 4. Subtract your ceremony length from that finish time. Full civil and religious ceremonies in Australia typically run 30 to 50 minutes.

For Sydney in June the same calculation applies to a different number. Sunset falls at 4:54pm and golden hour starts at 4:16pm.2 A ceremony ending at 4:16pm would start at around 3:36pm for a 40-minute service - a full afternoon that needs an early getting-ready call. The winter wedding ceremony timing guide covers that version in detail.

The full sunset wedding timeline template

The PlannedBy run sheet generator builds the day from one input: the ceremony time. Enter 6:10pm and the schedule places getting-ready, supplier arrivals, the ceremony, the portrait window, cocktail hour and reception in one document you can share with every vendor. Shift the ceremony to 6:30pm and every row downstream moves with it.

The table below is the generator's output for a 6:10pm Option A ceremony in December Sydney, timed for the 8:05pm sunset.1

Frequently asked questions

What time should the ceremony start for a sunset wedding?

Subtract the ceremony length and the portrait window from your venue's exact sunset time. For a 40-minute ceremony and 75 minutes of portraits in Sydney in December (sunset 8:05pm1): 8:05pm minus 75 min = 6:50pm ceremony end, minus 40 min = 6:10pm ceremony start. Run the calculation with your actual date and location before setting anything in stone.

Does the season change the ceremony start time significantly?

Yes. Sydney's summer solstice sunset is at 8:05pm; the winter solstice at 4:54pm.12 The September and October peak wedding season falls between those extremes. Look up the actual sunset time for your venue's city and your exact date rather than using a monthly average - the shift across even a few weeks in spring and autumn is significant.

Can a winter sunset wedding work?

Yes, but the portrait window after the ceremony is compressed. Sydney's June golden hour starts at 4:16pm and sunset falls at 4:54pm, leaving 38 minutes of peak warm light after golden hour begins.2 A ceremony ending at 4:16pm means starting at around 3:36pm. For most couples with a winter date, that is an unusually early start. The winter wedding timing guide covers the full back-calculation for those dates.

Is a late evening wedding ceremony legal in Australia?

Yes. The Marriage Act 1961 permits a marriage to be solemnised on any day, at any time, and at any place.3 An 8pm ceremony is as legally valid as a noon one. The only constraints are venue operating hours, supplier availability, and the light.

How do I make sure the photographer and caterer work from the same timeline?

The most common failure point is suppliers running off different versions of the schedule. One Australian coordinator writes: "Ceremony too early - photographers need light. A 3pm ceremony in winter means no golden hour. Shift to 4pm."4 That note makes the link explicit: the photographer's timing and the ceremony time are connected, and every vendor needs to know the connection. The PlannedBy run sheet gives each supplier a column view of the day, so a change to the ceremony time updates every vendor's copy without a separate email.

Who this is not for

A sunset wedding timeline is not the right frame if the ceremony and portrait plan are entirely indoor. Natural light timing does not affect an indoor-only schedule, and anchoring the day to sunset removes flexibility in the reception structure without adding the photo benefit.

It is also not the right tool if the venue has a fixed ceremony slot with no flexibility. If the ceremony time is already decided, the question becomes how to work the portrait plan around whatever light that slot provides - not how to back-calculate from the ideal. The general ceremony timing guide covers scheduling from a fixed slot.
