Wedding planners shopping for HoneyBook alternatives are usually trying to fix two different problems with one purchase, and buying the wrong category costs a year of subscription without touching whatever actually went wrong last season. One problem is the admin: enquiries, contracts, invoices, deposits. The other is the day itself: the run sheet, the supplier briefs, and what happens at 4:55 PM when the ceremony moves. Sort yours before you shortlist anything.

That gap is deliberate. Plans and feature lists move through the year, so a comparison written from memory ages inside a season while costing a reader real money. What follows instead is the split, the Australian numbers sitting behind each side of it, and a plain statement of which side PlannedBy covers and which it leaves alone.

Which of the two problems are you actually shopping for?

Write down the last three things that went wrong on a wedding, in the words you would use to a friend. Then sort them.

The two get conflated because they present the same way. Both feel like being disorganised, both turn into a late night, and both get described to a friend as needing better systems. They come apart the moment you name who was let down. An unanswered enquiry lets down a stranger who has not paid you anything yet. A schedule nobody updated lets down the suppliers already standing in the room, on the one day you were hired to hold together.

If all three land in the top half, buy client-management software this quarter and leave the day-of document where it is. If all three land in the bottom half, a better invoicing system will not help you. Most planners with a few seasons behind them get a mix, which is why most of them end up paying for one of each.

How big is the admin problem in Australia?

Larger than the software market implies. Easy Weddings' 2026 industry report, drawn from more than 4,000 couples and 540 supplier businesses, puts CRM use among Australian wedding suppliers at 42%.1 One disclosure before you lean on that figure: Easy Weddings sells a free CRM to the same suppliers it surveyed, and says so on the same page of the report.1

A majority of the Australian wedding trade is therefore running a client pipeline with no client-pipeline software in it. The report does not record what those businesses use instead, so nobody can honestly claim they are all on spreadsheets.

The shape of the businesses explains the number. Sixty-nine per cent of Australian wedding suppliers are sole traders and 20% are companies, the average age is 47, and for 53% the business is their main gig rather than something run beside a job.2 That is one person doing the selling, the paperwork and the wedding, which is the position from which a monthly subscription for admin software is a real decision rather than a rounding error.

Automation has not reached that corner of the work either. Where Australian suppliers use AI at all it goes on social media captions at 25%, brainstorming at 19% and website copy at 17%, with admin and automation last at 8%.1

What a client-management tool has to be good at

The failure worth paying to fix is silence rather than slowness. Fifty-three per cent of Australian couples say they were ghosted by a supplier during planning, and 19% book the first supplier who gets back to them.3

Read the response data carefully before drawing the obvious conclusion. Thirty-five per cent of suppliers reply within an hour while only 2% of couples expect a reply that fast, and 54% of couples are content to wait up to 48 hours against 11% of suppliers taking that long.3 On average, Australian suppliers answer faster than couples ask them to. The enquiries that cost bookings are the ones that never get an answer at all.

So the checks worth running on a client-management tool are narrow ones. Does every enquiry land in one place whatever channel it arrived on. Does the tool tell you today which of them are unanswered. Does a booking carry its contract, its deposit and its balance on one record rather than three. And does it send by email, because 83% of Australian couples want suppliers to communicate with them that way, against 8% by phone and 5% by text.4

How big is the day problem, and when does it start?

Earlier than most planners expect. In the 2026 Australian buying cycle, couples book the wedding planner third, straight after the venue and the caterer and ahead of both the celebrant and the photographer.5

You are hired before most of the supplier team exists, and you then inherit the job of coordinating everyone booked after you. Each of those bookings arrives as an email, a quote, a phone number and a set of times, spread over a year or more.

An Australian wedding planner asked how to keep supplier details straight named the failure mode precisely: "The couples who feel the most organised are usually the ones who avoid having details scattered across emails, texts, screenshots, Instagram DMs, and handwritten notes."7 Her own answer is one central system plus a shared wedding email address both partners can reach, and she counts a spreadsheet as an acceptable central system rather than as the villain.7

What that system has to produce is the run sheet, and Australian planners say so unprompted. Asked what happens at a normal Australian wedding from start to finish, Hunter Events NSW laid out the shape of the day and closed with this: "Most venues and wedding planners will create a detailed run sheet for you, so if you start to feel overwhelmed, it's always best to work closely with a professional to guide you through it."8 The document is your deliverable, in other words, and the couple is buying it from you.

Which makes the day-side test a short one: when a time moves, how much of that document do you retype. The six criteria for judging a day-of tool are a page of their own, and the fastest version of the whole set is to move the ceremony twenty minutes later in a trial account and count the rows you touch by hand.

Does the money justify carrying two tools?

Price it against your own fee rather than against a feature list. Easy Weddings guides Australian couples to expect $1,500 to $2,000 for a day-of coordinator and $5,000 to $6,000 for full-service planning, with hourly consultations at $75 to $100.6 That is a publisher's price guidance written for couples rather than a survey of what planners actually charge, so read it as the going rate a client walks in expecting.

Against a fee in that range both failures are expensive, in different currencies. An enquiry nobody answered costs a booking outright, and 19% of couples book whoever replies first.3 A supplier working all day from a superseded run sheet costs you the review, the referral and the Saturday. Whichever of those two you have had more of in the last twelve months is the half to fix first.

There are no contracts, no invoicing, no lead capture and no payment reminders in it, and no plan adds them. If what you want is a replacement for the business side of a planning company, this is the wrong category of software, and the business suites are best compared against each other.

What it does hold is the day: a run sheet whose times derive from anchors, so moving the ceremony re-times everything built off it; nine supplier columns on one sheet, where a row reaches a supplier only when that supplier's column has something written in it; plus the seating plan, the guest list, the supplier list and the budget. Common questions

Is PlannedBy a HoneyBook alternative? Only for the day-of document, and only if that is the half you are replacing. PlannedBy carries no contracts, no invoicing, no lead capture and no payments, so if any of those is what you are shopping for, this is the wrong product to put on the list. For most planners it works out as a second purchase rather than a replacement for anything.

Can one tool cover both halves properly? Some products claim both, and the way to test the claim is to skip the sales page and try the harder half. Build a full wedding day in it, move the ceremony, and see what you retype. A client-management tool is the easier place to bolt a schedule on and the harder place to make one recompute.

What should I ask a client-management vendor to show me? Every enquiry from the last week on one screen, with the unanswered ones marked. Then one booking with its contract, its deposit and its balance on a single record. Both are daily jobs, and both are where a tool that photographs well falls over.

Which half should I buy first if I can only afford one? Whichever one has cost you more. Lost bookings point at the admin. Rebuilt schedules and suppliers working from an old version point at the day.

Do Australian planners actually use software for this? Fewer than the marketing implies. Forty-two per cent of Australian wedding suppliers use a CRM at all.1 Running on nothing is normal in this market, so your switching costs are lower than you think, and the real comparison is often against your current email folder rather than against another product.

Does running on no system at all change the answer? It lowers the cost of the first purchase and raises the value of choosing the right half. Coming from an email folder and a spreadsheet there is nothing to migrate and no contract to exit, so pick the half that has cost you more, give it a full season, and buy the second one only when the first has stopped being the problem.

Is there something I can test without an account? Yes, for the day half. The run sheet generator and the seat planner are open on the site, so you can build a full day and re-time it before deciding anything.

What if the couple has already started their own plan? Same document, different buyer. A couple's run sheet and a coordinator's run sheet are the same artefact, so taking over a day the couple has already built beats rebuilding it from an emailed list.

The question to answer before you shortlist anything

Look at the last wedding that went sideways and ask which half of the job it came out of. If the trouble started before the day, in an unanswered enquiry or a contract that never came back, no run sheet tool on the market would have caught it. If it started on the day, with a time that moved and a supplier who never heard, a better invoicing system would have sat there and watched.

Most planners end up carrying one tool for each half, and the sensible order is to fix the half that has cost the most in the last twelve months. If that is the day, put a ceremony time into the run sheet generator and see how much of your document turns out to be arithmetic you have been doing by hand, then read what the job itself still requires of you.
