How to make a mirror table plan for a wedding: lock the seating first, size the mirror to your real tables, group it by table, then pick chalk, vinyl or a calligrapher.

Write a mirror table plan in liquid chalk while the guest list can still move, and hold off on a vinyl decal or a calligrapher until it is locked. A mirror table plan is a hired mirror lettered with each guest's table number - "table plan" is the term used in the UK, Ireland and Australia for the document US and Canadian sites call a seating chart.1 The writing method decides whether a late change costs an afternoon or a full re-do.

1. Finish the table assignment before you book the mirror

A mirror table plan only copies a decision that should already be made: which confirmed guest sits at which numbered table. Build that assignment in a seat planner, not a document. 2. Count the table lines the mirror has to carry

A table plan is sized in table lines, not name rows - one line per table number, not one line per guest. Easy Weddings gives eight guests per standard round table as a general rule of thumb, and an Australian event-hire company's own spec for its 1.8-metre round banquet table gives a matching range of 8 to 10.23 At 85 confirmed guests - the Australian average5 - that works out to 11 table lines. A larger wedding of 117 guests needs 15. Long trestle tables change the math: a 2.4-metre trestle seats 8 to 10 guests to a line, a 1.8-metre trestle 6 to 8.4 Count the actual tables in the room, not a guest-count formula, before deciding how tall the mirror needs to be.

3. Group the list by table, keep it that way

A table plan is grouped by table as standard - each table number gets one line and the names under it, the format used across the UK, Ireland and Australia.1 That is a different reading habit from the alphabetical-by-name column a seating chart uses, and it changes who the mirror serves fastest: a guest who already expects a table number scans down to their table, not across the whole alphabet for their name. Keep that grouping through every draft. A list that starts by table and gets re-sorted alphabetically halfway through a revision is the most common reason a mirror ships with a guest under the wrong number.

4. Pick the writing method for how far the list still has to move

Three real options, sorted by how easily each one survives a late change. A liquid chalk marker wipes off with a damp cloth, so it suits a list that might still shift after venue styling begins. A vinyl decal is cut to the final wording and cannot be edited once applied, so it wants a list that is already closed. A calligrapher hired for hand lettering sits between the two on cost and turnaround, and is worth it when the mirror is doing double duty as part of the day's styling rather than a plain lookup. Independent template sellers offer a fourth route for the wording itself: a purchased, editable design opened in a browser, no software install, that a mirror writer copies from directly.7 Buying one does not require setting up an account first - most sellers' checkouts let a buyer complete the purchase as a guest.8

5. Book the write-up only after RSVPs close

Book whoever is writing the mirror - a stylist, a calligrapher, or the venue's own signage service - once RSVPs have closed and the table assignment is final, not before. A mirror is a physical surface: chalk can be wiped and redone, but a vinyl decal or hand lettering cannot absorb a guest moving tables without a visible fix. Confirm the delivery and setup time in the run sheet alongside the rest of the vendor arrivals, so the mirror is in place before guests reach the reception.

6. Keep a paper backup at the door

The mirror cannot update itself after it is written. Keep a printed copy of the full table assignment at the welcome desk for the day-of coordinator or MC, covering any RSVP that changes after the mirror is locked. A late addition gets handled from the paper backup without anyone touching the glass.

Common questions
