Wedding Timeline for a 4pm Ceremony

"My recommendation to you would to have your ceremony at 4pm," writes Margan Winery and Restaurant, a Hunter Valley venue.¹ A wedding timeline for a 4pm ceremony runs 12:00 PM to midnight, and one typed time builds all twelve rows of it.

The generator pre-fills the ceremony field at 3:00 PM, not 4:00 PM. Type 4:00 PM instead and every row moves an hour later - the same hour two independent sources land on anyway. Margan Winery recommends it outright, and Jordan at Managing Matrimony arrives from the other direction: "a 3pm ceremony in winter means no golden hour. Problem one: four hours might not be enough to get ready

The derived day opens getting ready at 12:00 PM, four hours before the ceremony, then leaves for the venue at 3:15 PM with guests arriving at 3:30 PM. Four hours is the minimum the generator assumes, not a recommendation.

Verdict: type your own preparation time and the ceremony will not move. A typed time sits exactly where you put it, and anything that has to happen first lands in the section above instead of dragging the ceremony earlier.

Problem two: 4:30 PM to 7:00 PM sits empty

Nothing fills it, until you say so. Family photos finish around 4:50 PM and the reception opens at 7:00 PM, leaving two and a half hours with one row in it. That is a longer gap than 3pm leaves and a shorter one than 5pm leaves - 4pm sits in the middle of the decision rather than avoiding it.

Margan Winery's answer to that gap is the ceremony time itself: the hour between ceremony and canapes "can often create an awkwardness for your guests especcialy if the venue is remote," which is the reasoning behind recommending 4pm for a single-venue day.¹

Type 5:00 PM into the canape hour field and the afternoon reorganises: canapes at 5:00 PM, portraits at 5:45 PM, flowers moved to the tables at 6:00 PM, and the reception still at 7:00 PM, because it now derives from canapes plus two hours rather than ceremony plus three. Twelve rows becomes fourteen.

Verdict: at one venue, type a canape hour. At two venues, leave it blank so the drive fills the afternoon, and print the return time for guests.

Problem three: 3pm misses golden hour, 5pm starts after sunset

4pm is the fix for both. In Sydney on 20 June, golden hour starts at 4:16 PM and sunset falls at 4:54 PM.³ A 4:00 PM ceremony begins sixteen minutes before golden hour and is still running when it arrives.

The generator's own ceremony sequence puts the recessional at 4:35 PM, the confetti line at 4:40 PM and the formal family photographs at 4:45 PM - all three inside golden hour, ahead of sunset. Only the wedding party photographs, one row later at 5:00 PM, land after it, six minutes into dusk rather than full dark.

In December this matters less: golden hour at 7:28 PM and sunset at 8:05 PM both fall well inside the 7:00 PM reception, the same as at 3pm or 5pm.³ The difference 4pm makes is specific to the short months.

Verdict: in a Sydney winter, 4pm gets photographed in daylight and finishes in gold, not after either has already gone.

Problem four: the last two and a half hours are blank

Like the 3pm day, the evening needs the least attention. The reception opens at 7:00 PM, three hours after the ceremony, and the send-off lands five hours later at midnight, with dinner at 7:45 PM, speeches at 8:30 PM and the first dance at 9:30 PM between them.

Type an end time and it is used instead, unless it falls before the reception starts. Two and a half hours then sit between the first dance and the send-off with nothing written into them. Jordan's fix is a buffer: a sparkler exit needs 30 minutes of build-up, and a photographer who leaves before it means no exit photographs.²

Verdict: the evening needs the least work, but write the last hour in anyway.

Problem five: the ceremony starts twenty minutes late

Ten of the twelve rows re-time: leaving at 3:35 PM, guests at 3:50 PM, photos at 4:50 PM, the reception at 7:20 PM, the send-off at 12:20 AM. Getting ready at 12:00 PM and the flower delivery at 1:30 PM do not move - they are anchored to the morning, not the ceremony.

A spreadsheet holds a 4pm day fine, but rebuilding it at 4:20 means retyping ten rows and re-sending them to everyone working the day. The pay-once plans exist because a wedding happens once, not monthly.

What time does a 4pm wedding finish? Midnight on the derived day, five hours after the 7:00 PM reception. Type your venue's curfew into the day-ends field and that time is used instead.

Is 4pm the best ceremony time in a Sydney winter? For catching the light, yes. It begins before golden hour and finishes inside it; a 3pm ceremony misses golden hour entirely and a 5pm ceremony starts after sunset.³²

Do we have to have a canape hour? Only if the gap is dead time. One venue with guests standing around, yes. Two venues with a drive between them, no.¹
