Why does a printed wedding timeline template go wrong the moment something moves?
Because the times on it were never derived from anything. The Knot's own wedding timeline guide is an editorial article: a template to fill in, not a schedule computed from the ceremony.2 Vertex42's Wedding Planner spreadsheet, one of the better-built free options, ships a Wedding Day Schedule worksheet in 15- and 30-minute increments alongside twelve other sheets, and every increment on it is typed by the couple, one row at a time.3
That is not a criticism of either. A blank grid is exactly what a spreadsheet is for. The problem shows up later, at the third or fourth reschedule, when the photographer moves the shoot by twenty minutes and every row after it is now wrong until somebody opens the file and fixes each one by hand.
What does a wedding timeline template actually need to hold?
Five parts, not one long list of times.

PlannedBy's own template is built this way: nine columns, one per supplier plus a primary sheet, and a row only shows on a column if that supplier's work touches it. What does an Australian wedding day actually look like, start to finish?
Two Australian wedding planners, describing the shape of a normal day rather than an ideal one: ceremony 20 to 30 minutes, roughly 30 minutes of family photos straight after, a 60 to 90 minute cocktail hour, dinner running another 60 to 90 minutes, then speeches.4 The speeches block is the one piece with a published ceiling: no more than 40 minutes total, usually closer to 20 or 30.5

A template that only lists these five blocks is a start. A template that also knows dinner sits at cocktail-hour-plus-90 and speeches follow it, so that moving the ceremony moves every block after it automatically, is the difference between a form and a schedule.

How does a computed wedding timeline template fix the retiming problem?
A worked example. Start a template from the classic scenario, then change one thing: move the ceremony from 3:00 PM to 4:00 PM. On a printed template, every later row needs the same forty minutes added by hand, and it is easy to miss one. On the generator, the anchor moves and the offsets built from it move with it: guests arrive at ceremony minus 30 minutes, family photos at plus 30, dinner at reception plus 45, speeches at plus 90. Nothing after the ceremony has to be retyped, because nothing after the ceremony was ever typed as a fixed time in the first place.

Which wedding timeline template do you actually need?

Is a wedding timeline template the same as a run sheet template? Yes. "They're basically the same thing. How far in advance should I fill one in? Once the ceremony time and the photographer's booked hours are settled, usually a few weeks out. Fill in the anchor first, then let the rest of the day follow from it rather than typing each row from a blank page.
